How to Get Maximum Value from a Trade Show
Before the Show
Research exhibitors in advance. Most major shows publish exhibitor lists online 2–3 months before the event. Identify the 15–20 suppliers most relevant to your needs and schedule meetings in advance. Walking in without a plan means wandering aimlessly through hundreds of booths.
Prepare your requirements. Bring your packaging spec sheet, artwork files, and current pricing for comparison. Know your annual volumes, target prices, and delivery requirements. Suppliers take prepared buyers more seriously and offer better pricing to those who clearly know what they want.
During the Show
Collect samples, not just brochures. Physical samples are far more valuable than brochures. Ask every relevant supplier for samples you can take back and test with your actual food products. Most exhibitors bring samples specifically for this purpose.
Take detailed notes. By booth 30, you won’t remember what booth 5 offered. Note each supplier’s product range, pricing indication, MOQs, lead times, and your personal impression of their professionalism. Take photos of products and business cards together so you can match them later.
Ask about post-show pricing. Many suppliers offer special pricing for orders placed within 30 days of the show. Ask about show specials before leaving each booth.
After the Show
Follow up within one week. Send a brief email to every supplier you’re interested in, referencing your booth meeting and requesting formal quotes. Suppliers receive hundreds of contacts at shows — following up quickly puts you at the top of their priority list. Waiting a month means they’ve forgotten you.
Virtual Alternatives
If attending in person isn’t feasible, several shows offer virtual attendance options or year-round digital platforms. PACK EXPO has an online marketplace. Alibaba.com runs virtual trade shows periodically. The Food Packaging Summit (February 2026, online option available) offers webinar-style content year-round. These aren’t as effective as in-person attendance but can supplement your supplier discovery efforts at zero travel cost.
